Privacy Policy

Rose Co. Coaching ("Rose Co.", "we", "us") offers one-on-one coaching for women. This policy explains what we collect, why, who we share it with, and the choices you have. If you have questions, contact us at info@rosecocoaching.com.

What we collect

Account and contact details: your name, email address, phone number (if you give it), city and state.
Quiz and application answers: your pillar quiz answers and scores, Founding Circle application answers, availability and how you heard about us.
Coaching information: session bookings, attendance, and the notes and recaps your coach writes.
Session recordings and transcripts: video sessions run through our portal may be transcribed so your coach can prepare a recap. You will see a notice before a session is recorded. Transcripts are stored for a limited time and then deleted.
Body Health Assessment: if you choose to complete it, your answers may include health-related information. They are shared with your assigned coach and Rose Co. administrators only, as explained on the assessment itself.
Your private writing: journal entries and workbook answers. These are private to you — your coach and Rose Co. staff cannot read them.
Conversations with Rose, our AI companion: your messages are processed to generate replies. Coaches and staff cannot read your conversations. If a message suggests you may be in danger, we may record that a safety concern occurred so we can point you to crisis resources.
Payment details: payments are handled by Stripe. We never see or store your full card number.
Technical information: basic device, browser and usage information needed to run and secure the site.

Calendar Connections

Coaches may connect a Google or Microsoft Outlook calendar to their Rose Co. account. When a coach connects a calendar, Rose Co.:

Reads only busy times (start and end times) so clients see accurate availability and sessions aren’t double-booked. We don’t read, store, or display event titles, descriptions, attendees, or locations.

Adds Rose Co. sessions to the coach’s calendar, including the session time and video link, and updates or removes them if a session is rescheduled or canceled.

Uses the connected account’s email address and basic profile to identify which calendar is connected.

We don’t sell calendar data, use it for advertising, or share it with anyone other than service providers that help us run this feature. Calendar connections are handled through a secure third-party connection service that stores access credentials in encrypted form, and they’re never shared with clients or other coaches.

Coaches can disconnect their calendar at any time from the Coach Hub, or by removing Rose Co.’s access in their Google or Microsoft account settings. Once disconnected, we stop accessing that calendar.

Rose Co.’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How we use it

To match you with a coach and provide your coaching.
To schedule sessions, send reminders, recaps and progress reports.
To process payments and manage your plan.
To respond to you and provide support.
To improve our programs, including through surveys you agree to complete.
To keep the site safe and meet legal obligations.

We do not sell your personal information.

Emails

We send emails about your account, sessions and plan. We may also send occasional updates; you can opt out of non-essential emails at any time using the link in the email or by contacting us.

Who we share it with

We share information only as needed to run Rose Co.:

Your coach — your name, contact details, bookings, quiz results and (if completed) your Body Health Assessment.
Service providers that help us operate, under their own privacy and security terms: payments (Stripe), scheduling (Calendly), video sessions (Daily), transcription, email delivery (Resend), hosting and database, and AI services used to power Rose and draft session recaps.
When required by law, or to protect someone's safety.

Testimonials

If you agree to share a testimonial, we may use it publicly as described in the agreement you signed. You can ask us to stop using it in the future.

How long we keep it

We keep your information while you have an account and for as long as needed for the purposes above, legal requirements, or resolving disputes. Session transcripts are deleted automatically after a limited period.

Your choices and rights

You can ask to see, correct, download or delete your personal information by contacting info@rosecocoaching.com. Depending on where you live (for example, California), you may have additional rights, and we will not treat you differently for using them.

Security

We use access controls so that only the right people can see your information, and private writing stays private to you. No system is perfectly secure, so please keep your password safe.

Children

Rose Co. is for adults 18 and older. We do not knowingly collect information from anyone under 18.

Not medical or emergency care

Coaching and Rose are not therapy, medical care or emergency services. If you are in crisis in the U.S., call or text 988, or text HOME to 741741.

Changes

We may update this policy. If changes are significant, we will let you know by email or on the site. The date at the top shows when it last changed.
